Spotting Quick Wins Using AI; When to DIY and When to Bring in Expertise

January 10, 20264 min read

Here’s what I see happen all the time: A business owner gets excited about AI, tries to implement everything at once, and ends up overwhelmed, frustrated, and convinced AI isn’t for them.

Sound familiar?

The problem isn’t AI. It’s strategy. They’re looking for solutions before they’ve identified the real problems.

That’s why I want to walk you through how to spot quick wins - the low-hanging fruit that can transform your business without chaos. And equally important, I’ll show you when it’s time to bring in expertise to avoid costly mistakes.

What Makes a “Quick Win”?

  • A quick win is a specific task or process that:

  • Takes significant time right now

  • Can be solved with a single AI tool - Delivers immediate, measurable results

  • Requires minimal training or setup

Quick wins aren’t about transforming your entire business overnight. They’re about proving to yourself that AI actually works, building confidence, and freeing up time for what matters.

How to Spot Your Quick Wins

Step 1: Audit Your Time Drains

Look at your typical week. Where are you spending time on repetitive, low-value tasks? Common culprits: - Writing routine emails or follow-ups - Drafting proposals or quotes - Transcribing or summarizing meetings - Creating social media content - Editing and proofreading documents - Data entry or organizing information

These aren’t strategic work. They’re necessary, but they’re eating your time.

Step 2: Identify the Pattern

Ask yourself: “Do I do this task the same way every time?” If yes, it’s a candidate for AI.

For example, if you write customer follow-up emails using the same structure every time, that’s a pattern. ChatGPT can handle it. If you create monthly social media posts with similar messaging, that’s a pattern. Canva Magic Write can handle it.

Step 3: Estimate the Time Savings

Be realistic. How many hours per week does this task take? If it’s 30 minutes, the impact is smaller than if it’s 5 hours. Focus on tasks that eat meaningful chunks of your time.

Step 4: Pick One

This is crucial. Don’t try to solve five problems at once. Pick the one quick win that will save you the most time or frustration. Master it for 30 days. Then move to the next one.

The Quick Win Test

Before you invest time in any AI solution, ask these questions:

  1. Is this task repetitive? (Does it follow a similar pattern each time?)

  2. Can I describe it clearly? (Can I explain what I need in plain language?)

  3. Will the time savings be meaningful? (Does it free up at least 3–5 hours per week?)

  4. Can I measure the result? (Will I know if it worked?)

If you answer yes to all four, you’ve found a quick win.

When to DIY vs. When to Bring in Expertise

Here’s where many business owners stumble: They assume every AI implementation is a quick win. It’s not.

DIY works when:

  • The task is straightforward and repetitive

  • You have time to experiment and learn

  • The stakes are low (it’s not mission-critical)

  • You’re comfortable with a learning curve

  • The tool is designed for beginners

Bring in expertise when:

  • You’re automating core business processes (workflows, customer data, financial systems)

  • Multiple systems need to connect (your CRM, email, accounting software, etc.)

  • You need to ensure data security and compliance

  • The implementation affects your team or customers

  • You want to avoid costly mistakes or wasted time

  • You need a strategic roadmap, not just a tool

Here’s the reality: A quick win with ChatGPT or Canva? You can handle that solo. But if you’re looking to transform your entire workflow, integrate systems, or build something sustainable for your team - that’s where strategy matters.

This is exactly where I come in. Before you start randomly implementing tools, it’s worth getting clarity on:

  • Which processes actually need AI

  • Which tools will work best for your business

  • How to implement without overwhelming your team

  • What order makes sense for maximum impact

That’s what our AI assessments and workflow strategy work does. We help you see the forest, not just the trees.

Your Next Move

Start this week. Audit your time. Find one repetitive task that’s eating 3+ hours weekly. Pick a simple tool - ChatGPT, Canva, or Grammarly. Try it for 30 days.

If it works, celebrate the win. You’ve just proven AI can work for your business.

If you’re ready to go deeper - to build a sustainable AI strategy that transforms your operations without chaos - that’s when expertise pays for itself. We’ll help you identify which quick wins matter most and build a roadmap that actually sticks.

The key is starting somewhere. Pick your quick win. Prove it works. Then decide what’s next.

That’s how real transformation begins.
